Terms & Conditions
The health, safety and welfare of the children I teach is always my first priority.
By registering your child for lessons with me, Helen Jameson, (trading as Inspired Learning) you agree to the following terms and conditions, which may be subject to change. Clients will be informed via email of any changes made to these terms and conditions and given the opportunity to either accept the changes and continue tuition or terminate tuition from the date the changes occur.
Health, Safety & Welfare T&Cs for All Children
- Parents/carers agree to update Helen Jameson immediately in writing if there is any change to their contact details: mobile ‘phone numbers, home ‘phone number, home address and/or email address.
- Parents/carers agree to update Helen Jameson immediately if their child develops any medical condition/s or allergies which may impact on their learning and/or care needed while being tutored. Please see my ‘Accident, Injury and First Aid Procedures’ below.
Health, Safety & Welfare – Additional T&Cs for All Children Being Tutored in Person
- A parent/carer must deliver their child to the venue and ensure their child is safely inside before leaving.
- A parent/carer must be contactable via their mobile ‘phone and remain within a 10-minute walk/drive of the venue for the duration of every lesson in case of emergencies.
- Children attending in-person lessons must be in good general health and parents/carers agree they will not bring a child to a lesson if they, or any members of their household, are known to have an infectious illness or have symptoms of COVID-19, influenza, a high temperature, a rash, and/or have had sickness or diarrhoea in the preceding 24 hours.
- If your child cannot attend an in-person lesson for any of the above reasons but is well enough to be taught, it is usually possible to swap to an online lesson at the originally agreed time or for me to set some work to be done at home. In these circumstances, please contact me to arrange this as soon as possible.
- If I suspect a child I am teaching in person is unwell, may be infectious or has been in close contact with an infected person, I reserve the right to terminate the lesson immediately and parents/carers agree to collect their child within 10-minutes of being informed of this. In these circumstances, no refunds will be given.
- It is the responsibility of the parent/carer to ensure their child arrives at the venue promptly at the agreed time.
- For individual lessons in person, a parent/carer may accompany their child to my ground-floor teaching room (overlooking the public highway), and stay for as long as they wish to do so. However, once children are settled happily, I usually find they focus better if their parent/carer leaves and returns at the end of the lesson. I do not have a waiting room so most parents either wait outside in their car, go for a short walk or go to a local café, shop etc.
- Parents agree to let Helen Jameson know in writing or via email in advance if someone other than a parent/carer is going to collect their child. I will not allow a child to be collected by anyone other than a parent/carer without prior written notice. Please see my ‘Failure to Collect’ procedures below.
- Lessons will end at the originally agreed time, even if the pupil arrives late and parents/carers agree to arrive promptly at the agreed time for the end of every lesson to collect their child.
- Late Collection Fee: if parents, carers or the person responsible for collecting your child, arrive 5 or more minutes late to collect them, parents/carers agree to pay £15 for each additional five minutes late (or part thereof). This fee is payable within 48 hours of receiving an invoice for the late collection fee and I reserve the right to suspend all further tuition until the fee is paid.
Health, Safety & Welfare – Additional T&Cs for All Children Being Tutored Online
- Parents/carers retain full responsibility for the physical welfare and safety of their child while being tutored remotely via the internet.
- A parent/carer or responsible adult must be in close proximity within the same building as the child during the entire lesson.
- A parent/carer must be contactable via their mobile ‘phone for the duration of the lesson.
- Pupils must be seated at a table or desk and be fully clothed during the lesson. The lesson will be terminated immediately and no refunds will be given if pupils are inappropriately dressed (e.g. in nightclothes) or if they are sat or lying on a bed.
- Parents/carers agree no video or audio recordings of online lessons will be made by anyone without Helen Jameson’s prior written permission.
- Parents/carers agree Helen Jameson may use the Zoom Conversation Transcription facility to create a written summary of the lesson for her records.
- Parents/carers agree to provide safe and appropriate equipment for online video conferencing, together with a strong and stable internet connection. No refunds will be given for lessons cancelled, interrupted or terminated early due to a pupil’s equipment failure or loss of internet connection.
- It is the responsibility of the parent/carer to check their child’s equipment and remote connection are working correctly in advance of the lesson and to ensure their child logs on to their computer promptly at the agreed time.
- Lessons will end at the originally agreed time, even if the pupil logs on late.
- Tuition fees include an opportunity for up to 5-minutes verbal feedback at the end of each lesson. Parents/carers who want to take this opportunity are responsible for entering the online meeting (alongside their child) at the agreed finishing time for the lesson. If parents/carers are not present at the end of the lesson, I will assume they do not require any feedback and end the meeting.
Small Group Tuition – Additional T&Cs for Starseekers
- There are five Starseekers group lessons each half term. Dates for the lessons can be viewed here: Starseekers Term Dates.
- Fees include my planning and preparation time along with all resources, books and equipment used during the lessons.
- Fees for Starseekers Group Lessons are payable half-termly in advance via BACs on or before the due date shown on the invoice. Prompt payment is very much appreciated.
- Late Fees: A £10 late payment fee will be applied to invoices that remain unpaid 5 days after the due date shown on the invoice. Furthermore, if payment is not received within 5 days of the due date shown on the invoice, then your child’s tuition may be cancelled and the place offered to another client. If there are extenuating circumstances, please get in touch so we can discuss the best way forward.
- No refunds will be given to parents/carers cancelling a group lesson for any reason and no substitute lessons will be provided. However, in extenuating circumstances, it may be possible to email parents a digital resource pack for them to do at home with their child to help them catch up with some of the work they missed.
- Termination of group lessons: one month’s notice of cancellation is required for group lessons (or payment in lieu).
Weekly, Individual Tuition – Additional T&Cs for Individual Pupils
- Fees include my planning and preparation time along with all resources, books and equipment used during the lesson. Fees for an individual lesson also include an additional 5-minutes verbal feedback to parents immediately after the end of a lesson, as and when requested.
- Fees for Individual Lessons – ongoing, regular, weekly, individual lessons are payable monthly in advance (via BACs) throughout the year. Invoices are payable on or before the first day of each month. Prompt payment is very much appreciated.
- Late Fees: A £10 late payment fee will be applied to invoices that remain unpaid after the 5th day of the month. Furthermore, if payment is not received by the 5th day of each month, then your child’s tuition may be cancelled and the place offered to another client. If there are extenuating circumstances, please get in touch so we can discuss the best way forward.
- Please note my term dates for tuition are not the same as school term dates and can be seen here: Term Dates for Individual Lessons.
- Individual lessons cancelled with less than one week’s notice are payable in full – this includes cancellation for any reason including: holidays, social events, illness, computer problems, inclement weather, and traffic jams. Where appropriate, if requested in advance, it may be possible to swap to an online lesson at the original time in place of an in-person lesson.
- A maximum of two regular weekly lessons per term may be cancelled without charge – any fees already paid for these lessons will be carried forward to the next invoice, providing a minimum of one week’s notice is given. Any further cancellations within each term are payable in full – please see my Term Dates as these do not necessarily coincide with school term dates.
- During the school summer holidays, pupils who have regular, weekly, individual lessons are expected to attend a minimum of 2 lessons in order to maintain progress and retain their place in September. These lessons are payable by 1st August. If requested well in advance, summer holiday lessons may be arranged at different times/days according to availability.
- Termination of this agreement: one month’s notice of cancellation is required for regular weekly lessons (or payment in lieu).
Additional T&Cs for Trial Lessons, Extra and Ad Hoc Lessons
- Trial lessons: when space is available, a trial lesson may be booked for a new pupil, with no obligation to continue. A trial lesson must be paid for in advance and within 48 hours of a date for the lesson being agreed. Once confirmed, no rescheduling or refunds are given for cancellation of a trial lesson for any reason.
- Extra and ad hoc lessons: when available, extra lessons and ad hoc lessons must be paid for at the time of the booking being agreed. No refunds are given for cancellation of extra or ad hoc lessons for any reason.
Tutor Cancelling Lessons
Tutor cancelling lessons – if I have to cancel a lesson for any reason (other than non-payment of an invoice) you will not be charged for this lesson. If possible, I will try to find a mutually convenient time for a replacement lesson. If that is not possible, the payment will be carried forward to the next invoice. For trial and ad hoc bookings, if the lesson cannot be rescheduled, the fee will be refunded in full. For trial and ad hoc bookings, if the lesson cannot be rescheduled, the fee will be refunded in full.
Homework
For individual lessons, with parents’ agreement, a short piece of homework (15-20 minutes per week) will be provided free of charge to reinforce work covered during lessons. Marking and feedback on completed homework will be given to the pupil during the following lesson. If parents require further homework, extra marking or written feedback, this will incur additional fees.
For Starseekers Group lessons, a variety of homework tasks (30-60 minutes per week) will be provided free of charge to reinforce work covered during lessons. Children in Starseekers Groups are also encouraged to read widely, study advanced vocabulary (1-2 new words from a given list each day), practise mental maths skills and keep up with current affairs. Marking and feedback on completed homework will be given to the pupils during the following lesson. If parents require further homework, extra marking or written feedback, this will incur additional fees.
Written Reports
Written Reports may be provided upon request for an additional fee of £20 per 200 words or part thereof.
Additional Meetings and Telephone Calls
Additional Meetings and/or telephone calls lasting longer than 5 minutes with parents and/or (at parents’ request) other professional services (e.g., communicating with schoolteachers, educational psychologists or speech and language therapists) are charged at £40 per 30 minutes or part thereof.
Results
Results: Whilst I make every effort to provide tuition that strengthens and improves each pupil’s knowledge, understanding, confidence and attitude to learning, no guarantees are given or implied that a pupil will achieve a particular level, exam grade, or entrance to a selective school.
Registration and Data Protection Agreement
Prior to the first lesson, parents/carers must complete the New Student Registration Form and Data Protection Agreement linked below. By registering your child for lessons with me, Helen Jameson, (trading as Inspired Learning) you agree to the above terms and conditions. These terms and conditions may be subject to change. Clients will be informed via email of any changes made to these terms and conditions and given the opportunity to either accept the changes and continue tuition or terminate tuition from the date the changes occur. The current terms and conditions were updated on 28/08/2024 and will come into force on 09/09/2024.
Accident, Injury and First Aid Procedures
Online Lessons: Parents retain full responsibility for the physical welfare and safety of their child while being tutored remotely via the internet. A parent, carer or responsible adult must be in close proximity within the same building as the child during the entire lesson.
In-person lessons: I aim to keep children safe at all times. However, children do sometimes have accidents or become ill quite suddenly. Therefore, I will record information about any accidents/illnesses and any support given. I am not trained or qualified in administering first aid to children. Whilst I would make every effort to support an ill or injured child to the best of my ability, it is imperative parents remain within close proximity to the tuition venue. In the case of minor injuries/illness, where it is possible to continue the lesson, I will do so and, if I do not meet with parents/carers at the end of the lesson, I will message them to let them know that their child has had an accident/illness and the steps I took to support their child.
If the child appears too unwell to continue the lesson, I will contact parents/carers immediately (in the order given on the registration form).
If the child appears seriously unwell and I am unable to help the child or if I am concerned about an injury, I will –
- Contact emergency services to request an ambulance – 999 from the house phone.
- Follow the advice from emergency services.
- Inform parents as soon as possible to come and collect their child or meet them at hospital depending on what the emergency services recommend and is practicable.
- If necessary, send the child with the emergency services in an ambulance.
Parents/carers must tell me about any medical conditions, accidents, illnesses, or injuries their child has had at home recently and any medication that has been administered so I can inform emergency services if necessary, and take advice from them if a child suddenly becomes ill during tuition.
Allergies: Parents/carers are responsible for informing me of any allergies their child has. Our home is NOT nut-free, although I do not consume nuts during lessons. I have two small, non-shedding dogs who do not have any direct contact with my pupils without parents/carers’ permission in advance. However, the dogs do sit with me in my teaching room when pupils are not in attendance. Therefore, if your child has a severe allergy to nuts/dogs, in-person lessons may not be appropriate. Please inform me of any medical issues or concerns you may have prior to your child attending a lesson.

Failure to Collect Procedures
I do everything possible to keep children safe and secure while they are having tuition and are in my care.
Parents/carers are asked to try and telephone as soon as they know they might be or are going to be late, so I can reassure their child that they are coming and make arrangements to cancel the next lesson if necessary. All carers should have my landline telephone number stored in their phone: 01223 440711.
If a child is not collected within ten minutes after the expected collection time, I will make every effort to ring parents/carers’ contact numbers, leaving messages where appropriate. If I cannot contact parents/carers, I will make every effort to ring the emergency contact numbers provided on the registration form, leaving messages where possible.
Parents/carers, please keep all emergency contact numbers up to date. If you cannot provide emergency contact numbers, I will discuss your wishes if you cannot collect your child – this might include adding Social Services to the list of emergency contacts.
After 30 minutes, if I still cannot contact any of the adults named on the registration form to collect a child, the steps I will follow include:
- Contact the Police.
- Contact the Local Authority Safeguarding Partners and take advice from the duty social worker.
